Grant Application & Review Process

Who May Apply
All Scotch Plains-Fanwood educators are encouraged to apply for grants, and student collaborators are welcome to participate in the project planning and execution. Grant applications may be submitted by district administrators, teachers, staff members, community groups, and/or individuals. Collaboration is highly encouraged, especially across schools, grade levels, and departments, to foster broader impact and innovative ideas.
Our Grant Process – Applicant Overview
Our grant process is multi-tiered and includes input from a variety of stakeholders in selecting recipients. Grant applicants must complete the SPF Educator Grant Application by the specified deadline. Submitted applications will be reviewed by the EEF Board of Trustees in collaboration with the Superintendent and/or Assistant Superintendent using a standardized Grant Assessment Rubric. After reviewing the applications, the Grant Committee may contact applicants for additional information and/or support. The Board then votes on the grants recommended for funding, and the selected proposals are presented to the Superintendent for final approval.

Grant Award Process

Applicants will be notified whether their project has been selected for funding by the EEF.

Once a grant is awarded, the total amount cannot be increased. Be sure to include all anticipated costs—such as storage, shipping, and warranties—in the original application.

Once approved, the fulfillment process begins to ensure that programs, tools, technologies, and supplies are provided prior to the start of the following school year.

All purchased materials, equipment, and supplies become the property of the Scotch Plains-Fanwood Public Schools.

Grant funds are available for 18 months from the date of approval. To extend this period, grant recipients must submit a written request to the EEF Board of Trustees before the end of the 18-month window.

Terms of Approval
By applying for a grant, the applicant agrees to the following if selected as a grant recipient:

Promote and publicize the EEF whenever possible (e.g., Back to School Night, Parent-Teacher Conferences, Staff Development Days, PTO Meetings). Use the tagline: “This project/opportunity is made possible by a grant from the Education Enrichment Foundation of Scotch Plains-Fanwood.”

Share the benefits and impact of the grant with relevant district staff.

Comply with reasonable requests for information about the program’s activities, including invitations for EEF representatives to see the grant in action when feasible.

Submit an evaluation report within 30 days after the completion of the funded program, or by September 1st of the year following the award—whichever comes first.

Grant Publicity

Grant recipients are expected to be available to the EEF for the purpose of publicizing their projects to parents, staff, and the broader community through school publications, local newspapers, and other media outlets.

Please include the following statement in all public presentations or written materials about the project: “This project/opportunity is made possible (in whole or in part) by a grant from the Education Enrichment Foundation of Scotch Plains-Fanwood..”
Duration of Funding
All grant funds must be expended on the approved project within 18 months of the award date. If the project is canceled, delayed, or materially changed, any unspent funds will revert to the Scotch Plains-Fanwood Education Foundation. By funding a particular grant, The EEF does not commit to providing repeat funding in response to similar future applications.

While we always welcome innovative new proposals, applications for continued funding of previously awarded, successful projects will be considered—if the project has been updated, reviewed, and improved. Applicants should clearly indicate if the proposal is a request for continued funding from a prior grant.
